At XIT Matters, we believe you built something real — and your data deserves the same respect. This Privacy Policy explains exactly how we collect, use, protect, and (when necessary) share your information when you use xitmatters.io, our living valuation platform, mobile apps (if any), and all related services (collectively, the “Services”).
By using the Services, you consent to the practices described here. If you do not agree, please do not use the Services.
We may update this Policy from time to time. The new version will be posted here with an updated effective date. We will notify you of material changes via email or in-app notice.
1. Information We Collect
Information You Provide
- Account & Profile: Name, email, phone, company name, industry, role/title.
- Financial Data: Profit & Loss statements, Balance Sheets, Cash Flow statements, forecasts, depreciation schedules, debt details, and any other numbers you enter manually, upload via PDF, or import via QuickBooks or Xero.
- Persona & Preferences: Your selected persona (Seller, Buyer, Reinvest, Raise Capital, Investor, Net Worth) and any slider or scenario settings.
- Support & Communications: Messages you send to support@xitmatters.io or through in-app chat.
Automatically Collected Information
- Usage Data: Pages viewed, features used, time spent, valuation calculations performed, slider adjustments.
- Device & Technical Data: IP address, browser type, operating system, device type, referral source.
- Cookies & Similar Technologies: We use essential cookies to keep you logged in, analytics cookies (Google Analytics 4 with Google Signals & Enhanced Conversions), and functional cookies to remember your preferences. You can manage cookies through your browser settings.
Information from Third Parties
- QuickBooks or Xero (when you connect your accounts).
- Public sources (e.g., basic company information to pre-fill fields).
- AI-powered PDF parsing (powered by Grok) extracts data from uploaded statements.
We do not collect sensitive personal information (race, religion, health, etc.) unless you voluntarily include it in financial notes — and we strongly advise against it.
2. How We Use Your Information
We use your information only to:
- Provide, maintain, and improve the Services (run your three valuation methods, generate the XIT Blended Valuation, power scenario sliders and executive briefings).
- Deliver personalized insights based on your chosen persona.
- Process QuickBooks/Xero connections and PDF uploads.
- Send essential service communications (welcome emails, valuation updates, security notices).
- Improve the platform (aggregate anonymized data to refine algorithms and industry benchmarks).
- Detect fraud, enforce our Terms of Service, and comply with legal obligations.
- Market to you (new features, blog posts, webinars) — you can opt out at any time.
We never use your raw financial data for advertising or sell any of your personal or financial data.
3. How We Share Your Information
We do not sell your data. We share it only in these limited cases:

All data stays in the United States unless you are outside the US and we need to process it to provide the Services.
4. Data Security
We take security seriously:
- Bank-level encryption (AES-256 at rest, TLS 1.3 in transit).
- Role-based access controls — only necessary team members can access support tickets.
- Regular security audits and penetration testing.
- Automatic deletion of inactive accounts after 24 months (you will be notified).
- You can export all your data or request full deletion at any time.
No system is 100% secure. If a breach occurs that affects your data, we will notify you as required by law.

International Users (GDPR, etc.): You may have rights to access, rectification, erasure, restriction, portability, and objection. We are based in the United States; by using the Services you consent to data transfer to the US.
6. Children's Privacy
The Services are not intended for anyone under 18. We do not knowingly collect data from children under 18. If we learn we have collected such data, we will delete it immediately.
7. Third-Party Links
Our site may contain links to other websites. We are not responsible for their privacy practices. Please read their policies.
8. Data Retention
We keep your data only as long as necessary:
- Active accounts: as long as you use the Services.
- After cancellation: 30 days (for recovery), then permanent deletion (except anonymized analytics and legal retention requirements).
9. Changes to This Policy
We may update this Policy. Material changes will be emailed to you and posted with a new “Last updated” date. Your continued use after changes means you accept the updated Policy.
